Hospital data is plentiful and rarely used. A short KPI set reviewed daily or weekly tells administrators where money, time and capacity are going.
Starter KPI set
| KPI | How to read it |
|---|---|
| Daily collection | Cash, UPI, card and credit by counter |
| OPD visits and new vs follow-up | Demand and patient return |
| Admissions and discharges | IPD flow |
| Bed occupancy | Occupied bed-days divided by available bed-days |
| Average length of stay | Total inpatient days divided by discharges |
| Revenue by department and doctor | Where income comes from |
| Pending dues and claim ageing | Money still to collect |
| Pharmacy and lab revenue | Ancillary contribution |
Review rhythm
- Daily: collection, admissions, discharges, bed status.
- Weekly: department revenue, pending dues, claim ageing.
- Monthly: doctor-wise revenue and payouts, stock and expiry, cost trends.
Use the numbers
Compare with your own history first. A sudden change in occupancy, length of stay or discounts is a prompt to look closer, not a verdict.
Example weekly administrator review
- Collection and revenue versus last week.
- OPD and IPD volumes and bed occupancy.
- Average length of stay and discharge delays.
- Pending dues and claims older than your agreed limit.
- Pharmacy and lab revenue, expiry and stock-outs.
Agree owners and actions in the meeting, and check progress in the next one.
