Provident Fund is deducted from almost every payslip in an establishment covered by the EPF scheme, yet the wage base, the ceiling and the EPS split cause constant confusion. This guide explains each piece with an example.
PF wages: what the percentage applies to
PF is calculated on PF wages, which are generally basic salary plus dearness allowance and similar components, not total gross. Which allowances count depends on the wage definition applicable to you; the Labour Codes' 50% wages rule is changing how this is viewed, so confirm current treatment with your advisor.
Employee and employer contribution
| Item | Rate | Notes |
|---|---|---|
| Employee contribution | 12% of PF wages | Goes to the employee's EPF account |
| Employer contribution | 12% of PF wages | Split between EPS and EPF |
| of which EPS | 8.33% | Pension scheme; limited to wages up to the ceiling |
| of which EPF | Balance (about 3.67%) | Employee's PF account |
| Admin and EDLI charges | Percentage-based, paid by employer | Check current rates and minimums |
The ₹15,000 wage ceiling
Contribution is mandatory on wages up to ₹15,000 a month. For employees earning more, many employers cap contribution at the ceiling, while some contribute on actual wages if employer and employee opt for it. In NexoraHRMS the ceiling and employer rate are settings, and PF can be a fixed amount per employee or automatic.
Worked examples
| Case | PF wages | Employee 12% | Employer EPS | Employer EPF |
|---|---|---|---|---|
| Basic ₹12,000 | ₹12,000 | ₹1,440 | ₹1,000 (8.33% × 12,000) | ₹440 |
| Basic ₹25,000, capped at ceiling | ₹15,000 | ₹1,800 | ₹1,250 | ₹550 |
| Basic ₹25,000, contributing on actual wages | ₹25,000 | ₹3,000 | ₹1,250 (EPS capped) | ₹1,750 |
📌 Figures are rounded illustrations. EPS is limited to the ceiling, which is why the employer's EPS share stays at about ₹1,250 for higher wages.
ECR, UAN and due date
PF is deposited and the Electronic Challan cum Return (ECR) uploaded on the EPFO portal, usually by the 15th of the following month. Every member needs a UAN. The ECR carries UAN, wages, contributions and non-contributing days. A good payroll system flags employees with PF but no UAN before the file is built. See PF payroll software.
Common PF mistakes
- Applying 12% on gross instead of PF wages
- Forgetting the EPS cap
- Missing UANs on new joiners
- Paying late and incurring interest or damages
- Treating non-contributory days (loss of pay) incorrectly in the ECR
How software helps
NexoraHRMS calculates employee and employer PF from the wage ceiling in settings, shows the EPF/EPS split on the ECR screen and downloads the ECR text file with UAN and NCP days. See also payroll compliance software and ESI calculation.
