Field teams are hardest to manage because managers cannot see the day. A CRM visit log turns "I was at the client" into a record both sides can trust.
What to capture on each visit
- Customer and purpose of the visit
- Check-in time and place; check-out time
- Notes, photos and next action
- Order or quotation raised on the spot
Check-in options
| Method | Good for | Watch out for |
|---|---|---|
| GPS check-in | Confirming the visit location | Weak signal indoors |
| Selfie check-in | Extra confirmation for sensitive visits | Staff privacy; use clear policy |
| Manual entry | Backup when the app fails | Easier to back-date |
Manager review
- Planned versus completed visits
- Time on site and travel between visits
- Flagged visits such as short stays or off-location check-ins
- Visit-to-order conversion
Be transparent with staff about what is tracked and why. Use the data to coach and to plan better routes, not only to police.
Planning better routes
Visit data shows travel time between customers. Group nearby customers on the same day and book appointments in advance. Over a month this usually frees time for one or two extra visits per rep per week, and reduces fuel and travel cost.
- Plan visits the evening before.
- Record outcomes at the customer site, not later.
- Review short or missed visits with the rep, not only with a report.
Note: Location tracking should follow your privacy policy and local rules; tell employees clearly.
