Most fee defaults in schools are not refusals. They are forgotten dates, unclear dues and slow follow-up. A clear process and a live dues list fix much of it.
Start with a clear structure
Publish the fee heads, amounts and due dates by class at the start of the session. Confusion about what is due is the main cause of late payment.
Make paying easy
- Several counter options and clear counter hours
- Online payment through the school’s own gateway where possible
- Receipts printed instantly
- Part payment rules that are written down
Follow up early
Check the dues and defaulters list weekly, not at the end of the term. A short, polite message after the first missed date works better than a stern notice later. NexoraEDU prepares a WhatsApp message for each parent, and staff send it by click; there is no automatic bulk sending.
Control concessions and fines
- Define concession categories with management.
- Require a principal PIN for concessions.
- Apply late fine only by the written rule.
- Record every cancellation with a reason.
A weekly dues routine
| Day | Task |
|---|---|
| Monday | Open the dues list by class |
| Tuesday | Send reminders to parents |
| Thursday | Call large or repeated dues |
| Friday | Review collection report |
Treat the data with care
Dues lists are sensitive. Share them only with authorised staff and never display them publicly. Roles and permissions in the software help with this.
Why parents miss dates
| Reason | What helps |
|---|---|
| They did not know the date | Publish the schedule; reminders by WhatsApp click |
| They cannot reach the counter | Online payment, extended counter hours |
| The amount seems wrong | Show fee heads on the receipt and in the portal |
| Cash flow problem | Written instalment and part-payment policy |
| Dispute about a concession | Principal approval and records |
Use the portal to reduce questions
When parents can see their dues and receipts in the portal, fewer ask the office. NexoraEDU’s portal shows fee dues and paid receipts, and shows an online payment option when the school has enabled it.
Keep a human touch
The dues list tells you whom to call, but a polite call from the class teacher or principal often works best for long overdue accounts. Use messages for the first reminder and calls for the rest.
